We already use a different HR software, is switching easy?

Yes! Your current HR software provider should provide you (or us, if you prefer) with an export of all your data. We then upload this to our system and get you set up. We're here to help every step of the way.

Is UltraHR GDPR compliant?

Is data storage an extra cost?

Nope! The price you see here is the price you'll pay. Unlimited data storage is included in your subscription cost.

How do I get my information onto UltraHR? Won't that take ages?

It really doesn't take long at all. Our team are expertly trained to get you up and running as quickly as possible so you can start using your shiny new HR software.

Where is your support team based?

We are based in the UK and provide a 24/7 support service, accredited to the Microsoft Gold standard.

What are your support hours?

Our standard support hours are 8am-6pm, Monday-Friday. There is an option for access to our out of hours support service for all other times, so if you have a critical issue at 3am on a Saturday, a member of our team will be available to help.

What happens if I want to cancel?

Once you've reached the end of your contract terms, you can get in touch with us to cancel the service.

Do I get my information back if I cancel?

Yes. The information you and your employees upload to UltraHR is yours. We don't own it and will never hold it to ransom! If you decide to leave us, we'll provide you with a full export.

Do you offer training?

Yes. We want everyone to get the most out of our HR software, so our team can provide one-on-one or group training sessions, either in person or via web-ex.

Won't my team struggle to get used to the software?

Change can be difficult, but that's why we're here. We can provide training if required and are happy to answer any questions you may have about the software. UltraHR is extremely intuitive and simple to use, but we understand that sometimes people like a bit of extra support.

Is UltraHR only available in English?

At the moment, yes. However, we're in the process of making the software available in multiple languages. Watch this space!

Holiday Management

Our employee-led, automated holiday booking tool makes life easier for both managers and employees. Employees can request leave with our user-friendly mobile-enabled app, from any location, 24/7. Requests are automatically sent to managers for immediate approval at the click of a button. All of this gives you more time to be productive. Result!


Set up key personnel so their holidays don't clash, and also set a department maximum holiday limit for resource planning and business continuity purposes.

Planner

UltraHR’s Holiday Planner provides a clear overview of holiday booked across the company. Team members and their managers can quickly see who's in or out on any particular day or week, which can very useful when planning future projects and events. With intelligent filters it's possible to view the different absence types such as Maternity, Paternity, Compassionate, Sick, etc.

Clocking & Time Keeping

Overtime

With UltraHR you can create different types and rates of overtime and also fixed payments too, which allows employees to select the overtime type and time from an easy drop-down list. The request is automatically sent to a manager for approval, and again to confirm that the overtime has been worked by each employee.


Automating the process and management of overtime with UltraHR means you can safely leave the finance department to process employee overtime payments using the automated Payroll utility.

Clocking

Lateness and timekeeping is made easy with the optional UltraHR clocking module. Staff can either use a mobile app, identity card or our biometric system for ultimate security. It is also possible to integrate with other third-party systems if required.


Flexible Access

Give your employees easy options when clocking in: choose between QR code, PIN code or secure biometric fingerprint scanning.

Full History

A full clocking history for each employee is available, allowing you to keep track of their timekeeping, breaks and any extra hours they may work.


Clock In, Clock Out

Employees take charge of clocking in and out, you take charge of tracking and reporting on working hours.

Automated Reports

Managers receive daily alerts and insights on lateness, absence and more, fully configurable to your requirements. You'll never miss a thing!

Lateness

Using virtually any mobile device, employees can alert management that they are running late at the touch of a button. So, whether they are still at home or on the move they can keep their manager updated on their whereabouts!


Lateness data, including how often the employee is late, the reasons for their lateness and time lost, is captured and can be used to provide powerful insights into the individual’s overall punctuality.

By using our Shift Planning Software, you can manage employee shifts seamlessly, keeping track of part-time, full-time and even variable shift patterns (including those with daily and weekly changes) across the company. This UltraHR feature is an ideal resource for careful planning and scheduling.

Sickness & Absence

Our mobile friendly automated Sickness and Absence module makes it easy for employees to report sickness or request leave, informing management and HR instantly. For sickness there is an automated "Return to Work" process which removes the need for manual intervention unless necessary, and intelligent insights based upon the Globally recognised Bradford Factor.

Infection Control

Our unique and innovative Infection Control & Alerting system helps prevent the spread of infection diseases such as Coronavirus (COVID-19) in the workplace. UltraHR records symptoms and alerts management automatically via email and text if an employee reports any symptoms and advises the affected employee to stay at home. Meanwhile, the built-in communications system can be used to alert and update selected colleagues from within the same department or across the whole company if required.
